A one-star review landed last night. It says you never turned up, and you’re holding the job sheet that shows you were on site for three hours.

Here’s the honest position. You can’t delete a review yourself. Google will remove it only if it breaks one of Google’s content policies, and an honest negative opinion stays put. That leaves you three real options: report it, reply to it, and get Google reviews from happy customers so one bad one doesn’t define you.

We help Australian businesses with this at BuyReviews. Below is what works, what doesn’t, and the exact steps.

Can you remove a negative Google review?

Only two parties can take a review down: Google, and the person who wrote it. You’re neither, so your job is to make the case to one of them.

Google is clear on the limits. It says to report only reviews that violate its policies, and not to report a review because you disagree with it or don’t like it.

Which negative reviews will Google remove?

The ones that break a content policy. In practice, these are the cases we see removed most often.

A review from someone who was never your customer is fake, and fake content is against the rules. So is a review from a competitor or a former employee with a grudge, which Google treats as a conflict of interest. Reviews that are abusive, hateful, off-topic or that expose someone’s personal details can also come down.

The review about the job you never missed could fit the first group, if you can show the person wasn’t a customer or the event didn’t happen.

Which negative reviews will Google not remove?

Real opinions from real customers, even harsh ones. If someone waited two hours and said so in blunt terms, that review stays.

It also stays if the dispute is about facts only you two know. Google doesn’t referee who’s right about a quote or a deadline. In our experience, owners lose weeks trying to remove reviews like these when a good reply would have done more.

How do you report a review, step by step?

Do this as soon as you spot the review.

  1. Search your business name on Google while signed in to the account that manages your Business Profile.
  2. Select Read reviews.
  3. Find the review, select the three dots next to it, then Report review.
  4. Choose the reason that fits best, such as spam or conflict of interest.
  5. Open Google’s Reviews Management Tool to confirm the report is logged.
  6. Check the status there after a few days.

Pick the reason carefully. A report filed under the wrong category is easier for Google to turn down.

What if Google refuses to remove it?

You get an appeal, and it’s worth using when you have evidence.

  1. Go to the Reviews Management Tool.
  2. At the bottom, select Appeal eligible reviews.
  3. Select the review. You can choose up to 10 at a time.
  4. Explain briefly why it breaks policy, and stick to facts.
  5. Submit, then watch your email. The status will show as escalated while Google looks at it.

Keep your explanation short. “No customer of this name in our records for 2026, booking system export available” is stronger than three paragraphs about how unfair it feels.

Can the customer remove or change the review?

Yes, and this is the route owners forget. A customer can edit or delete their own review whenever they like.

If the complaint is real, fix it. Call them, sort the problem, and let them decide what to do next. Google says customers can update their review after reading your reply.

Don’t offer a refund, discount or gift in exchange for taking it down. Google bans rewards for changing or removing a review.

How should you reply while you wait?

Reply as if the review will stay, because it might. Your reply is for every future customer who reads it.

  1. Select Read reviews, find the review and select Reply.
  2. Stay calm and factual. Don’t argue or accuse.
  3. If you can’t find them in your records, say so politely and ask them to contact you.
  4. If the complaint is fair, own it and say what you’ve done about it.
  5. Give a direct phone number or email.

In our experience, replying within a day works better than waiting for the perfect wording. Owners who respond to negative Google reviews this way often win more trust than the review cost them.

Should you pay someone to remove reviews?

Be careful here. Nobody outside Google can delete a review. Any legitimate service uses the same reporting and appeal process that’s open to you, and anyone promising guaranteed removal is promising something they don’t control.

There’s a darker version too. If someone posts bad reviews and then asks for money to remove them, that’s extortion. Google has a separate process for reporting it, linked from its review reporting help page.

Is legal action an option?

For a review that’s false and seriously damaging, a lawyer can tell you where you stand. We’d treat that as a last resort, because it’s slow and costly.

The ACCC won’t step in on an individual review. Its guidance is to ask the platform to remove it, or reply and correct the record.

How do you outweigh a negative review?

With new, honest reviews. One bad review among eight looks like a pattern. One among eighty looks like one bad day.

  1. On a computer, open your Business Profile, select Read reviews, then Get more reviews, then Copy. Google provides this link, so you don’t need a Google review link generator.
  2. Ask every customer in person on the day the job is done.
  3. Text the link within the hour, or use a short review request email template.
  4. Send one reminder a week later.

This is the part BuyReviews runs for clients. You share your customer list, we send the requests, and your customers write their own words. It’s how to get more Google reviews that push an unfair one down the page. We also help clients report and appeal reviews that break Google’s rules. Both are part of how we improve Google reviews, and of online reputation management in Australia as we practise it.

Frequently asked questions

Can I delete a Google review about my business?

No. Only Google or the person who wrote it can remove a review. You can report it, and Google will take it down if it breaks a content policy, such as spam, fake content or abuse. An honest negative opinion stays. Your best tools then are a calm public reply and more reviews.

How long does Google take to remove a reported review?

Google doesn’t promise a time. In our experience it’s usually a matter of days, not hours. You can check progress in the Reviews Management Tool, which shows the status of each report. If Google decides the review doesn’t break policy and you have evidence, you can appeal from the same tool.

Can I pay to have a bad Google review removed?

No. Google doesn’t sell review removal, and no outside company can delete a review for you. Any legitimate service uses the same reporting and appeal process that’s open to you. Offering the customer money or a gift to take it down also breaks Google’s rules. Fix the problem and reply instead.

Should I reply to a negative review I’ve reported?

Yes. Reply as if the review will stay, because it might. Keep it short and factual: say you have no record of the customer or explain your side politely, and invite them to contact you. Future customers read your reply. Don’t accuse the reviewer of lying or share any personal details.

What if someone demands money to remove reviews?

Don’t pay. Google has a separate process for reporting extortion scams that involve negative reviews, and its help pages link to it from the reporting page. Report the reviews as well using Report review. Keep copies of every message. In our view, paying invites more demands and does nothing to remove the reviews.

What should you do next?

Report the review today if it breaks a policy, and post a calm reply either way. Don’t wait on Google before you respond.

Then start outweighing it. Send BuyReviews your customer list and we’ll help you Buy Google reviews Australia from real customers, so one bad review stops being the first thing people see.
